Acceptable use policy
This policy applies to everyone using our apps and the telephone system we operate. It supplements the Terms of Use and is intended above all to prevent one thing: that individual extensions cause harm to other users, to the company’s phone numbers, or to its reputation.
1. Calls and messages
- Advertising only with consent. Telephone advertising to consumers is unlawful without their prior express consent (section 7 of the German Act Against Unfair Competition); towards businesses, presumed consent is sufficient. The same applies to messages by email, SMS or messenger.
- No automated bulk calls and no calls without an identifiable subscriber. The caller ID must not be altered so that a third-party or invented number appears (misuse of numbers, section 120 of the German Telecommunications Act). Suppressing your own number via the setting provided for that purpose is not affected.
- No harassing or unlawful content — neither in calls nor in messages, announcements or name fields.
2. Recordings
Calls may only be recorded if the feature has been enabled for the company and all participants have consented. Secretly recording the spoken word not intended to be public is a criminal offence (section 201 of the German Criminal Code). Screen recordings of call content, door camera images or third-party messages must likewise be avoided without good reason.
3. Credentials
- Accounts are personal and are not shared — not even “just briefly” with colleagues.
- Treat the sign-in QR code for pairing a mobile device like a password: do not pass it on, do not let it be photographed, do not show it in chats or video calls.
- Sign out on shared computers after work; do not hand the program on to other people with your session still active.
4. Colleagues’ data
The apps show availability, ongoing calls, call histories and in part calendar data of other people. This information is intended solely for working together within the company. It must not be evaluated to monitor the conduct or performance of individual employees and must not be passed on outside the company. Whether and how such evaluations are permissible is a matter of works constitution law and for the company to decide, not for individual users.
5. Technical integrity
- Do not circumvent security measures and do not attempt to access other tenants’ data or other people’s extensions.
- No automated bulk queries of the interfaces and no load testing without arranging it with us beforehand.
- Do not modify the delivered programs and do not integrate them into third-party systems without our consent.
6. Report security incidents
Anyone who suspects that an account has been misused, that a device has been lost or that data has fallen into the wrong hands must report this without delay to the company’s administration or directly to us at info@q4m.de or +49 6831 76885-0. Reporting quickly limits the damage; a report that later turns out to be a false alarm has no adverse consequences.
7. If this policy is breached
In the event of serious or repeated breaches we may temporarily block individual accounts or features in order to prevent ongoing damage — for instance where misuse of the phone numbers is apparent. We inform the affected company without delay and lift the block as soon as the cause has been remedied.
